Zapier is an integration tool that connects different apps and software and lets you create automated workflows of repetitive tasks called a Zap. You can connect two or more apps and sync the latest data between them.

These connected apps can work together in the background, while you can focus on the main work which is to manage the event.

Each Zap consists of a trigger and one or more actions. When you turn your Zap on, it will run the action steps every time the trigger event occurs.

Key elements in Zapier-

A trigger is an event that starts a Zap. The event which kicks off your workflow- such as new Attendee Lead or new Attendee registered.

An action is an event a Zap performs after it is triggered. For example, if you want to add a new attendee lead to Google sheet the action is “Create a spreadsheet row in Google sheets”.

A task is an action your Zap successfully completes. For example, if your Zap has an action to create a new Google sheet, each sheet that is created will use one task.

Your Task History displays a log of all your Zap activity, including all the data that goes in and out of each of your Zap steps.

Now, Let’s see step by step How to create your Townscript Event Management workflow using a Zap.

Suppose you want to Manage a Spreadsheet of all the Potential Leads from the Townscript Event page. You need to sync leads data from Townscript with Google Sheets.

You can use the following Townscript Triggers and Actions available on Zapier:

Triggers

  1. New Attendee Registered– Triggers when a new attendee is registered for your event(s) on Townscript.
  2. New Attendee Lead– Triggers when a new attendee lead is generated for your event(s).

Actions

  1. Add Attendee– Adds an attendee to your event(s).

We will take the example of New Attendee Lead for in this guide,

New Attendee Lead in Townscript is the trigger event for the Zap on the and Create Spreadsheet Row in Google Sheets is the action event.

Mind that here event means the activity which starts in your workflow, when a Zap is on, not your actual Event. Also, your Zap can have one Trigger and one or more Actions.

First, you have to create a Zapier account. After that, you can directly click to Make a Zap option on the left-hand side button or explore apps on the Dashboard.

Zappier offers integration for over 2000+ web applications you use daily. You will find applications such as Google Sheets, Gmail, Active Campaign, Mailchimp, Hubspot, Zoho CRM, including Townscript.

Let’s make a Zap of New Attendee Lead from Townscript to Google sheets.

1. CHOOSE THE APP YOU WANT TO USE FOR YOUR TRIGGER EVENT. I.E TOWNSCRIPT

Now, Choose the Action App for the action event, i.e Google Sheets. It will open two new boxes for selecting trigger and action on both the Apps.

Click the drop-down menu of the Townscript App, when this happens… and select trigger New Attendee Lead.
On the action App, i.e Google Sheet select “Create Spreadsheet Row”.
Click on “Use Zap”.
2. YOU WILL BE ASKED TO SIGN IN TO YOUR TOWNSCRIPT ACCOUNT AND AUTHORIZE THE CONNECTION TO ZAPIER.

Mind that Credentials that you use to connect your accounts to Zapier are protected with bank-level encryption. It is only used for the purpose of creating a zap. For more details on data privacy  After choosing the Townscript account to connect within a zap, click “Continue”.
3. YOU WILL NEED TO CHOOSE THE EVENT FROM THE DROPDOWN-CUSTOMIZED LEAD OPTION. THIS WILL SHOW ALL ACTIVE EVENT NAMES ON YOUR TOWNSCRIPT ACCOUNT.

We have created a Dummy Event for an example. You can choose your Event name created using your Townscript Account.

4. IT WILL CHECK FOR ANY NEW LEAD ON TOWNSCRIPT EVENT. THIS MAY TAKE SOME TIME TO UPDATE.

5. CONNECT YOUR “ACTION” APP. IN THIS CASE, IT IS A GOOGLE SHEET.

Following the same steps as above, you can create more such Zaps using Townscript.

As mentioned earlier in the blog you can use Trigger Events such as New Attendee Registered on the Townscript as a Trigger App or you can make Townscript Action side App and Add Attendee directly to the Townscript Event Page.

These tasks can be done within minutes from a Zap.
